A guide for creating loads for your internal transportation drivers/vans, usually for dealer pickup/delivery or for your in-house trucks.

Use this guide to create a Chase Driveaway load. Chase Driver loads are built in Routes. Each Route can contain multiple vehicles with a common Pickup and Delivery Location and date.

A Chase Driver is assigned to the entire load (with one or more routes), and individual drivers can be assigned at the vehicle level, although not required. The Chase Driver will receive the dispatch notification and can mark the individual vehicles or the entire order with status updates (Picked Up and Delivered).

To create a Chase Driveaway load from Inventory Management:

1. Click on Inventory Management in the navigation sidebar.

2. Check the box for the vehicle you’d like to assign to a Chase Driveaway driver/team.

3. Click Choose Action > Create Chase Driveaway Load

If the vehicle does not exist in Inventory Management for any reason, a Chase Driveaway load can also be created from scratch by clicking Add Load in the navigation sidebar. This will open a blank Chase Driveaway order.

The New Chase Driveaway Load screen opens.

1. Basic Details: Use the Customer Load ID field to define the order number. This is optional and if left blank, a random order number will be assigned automatically.

2. Select Driver: Search for an existing driver’s name to assign as Chase Driver to this load. (A new driver can also be added here.)

3. Pickup and Delivery: Ensure that all the Pickup and Delivery contact information is populated correctly for the Route. Make sure to assign the requested Pickup and Delivery Dates. (America’s AA locations/contacts are available in the contact book – just start typing to see them in the drop-down.)

8. To add additional vehicles to this Route (same Pickup and Delivery location), click +Add Vehicle.

9. To add a new Route, click +Add Section. This will create a new Route with different Pickup/Delivery locations. Follow steps 3-7 to add the location information and vehicle(s) for the Route.

10. Dispatch Info: Enter any relevant instructions for the Chase Driver.

11. Payment: Enter the total Driver Payment information. Note: These fields are not required if not needed.

12. Customer: This could be an auction contact, the dealer, the repo company or could match the Pick Up or Delivery contact (if so, click Copy to Customer Information in the Pickup/Delivery section above).

13. Click Dispatch Chase Driveaway Load in the top righthand corner of the screen to dispatch the load to the as signed Chase Driver. If a Chase Driver has not yet been assigned (but all other information is complete), you instead have the option to Save Chase Driver Load and can revisit the load from the Loads screen (status=New) to assign and dispatch the load.

The Loads screen opens with the most recent order at the top of the list. Click See Details to view the submitted order.

In the Load Details screen, the order status is displayed.

1. Click Update Status to manually update the load status if the Chase Driver is unable to do so for any reason. This will update the status for all vehicles on the load. Note: This banner will be white initially and will change to purple once 6 hours have passed since the load was created or since the last status update was made.

2. Click Change Driver to change the Chase Driver assignment.

3. Click Edit in the Vehicle section to update the vehicle information.

4. Click Update Status for a particular vehicle to update the status for that vehicle only. This will not affect any other vehicles on the load.

The Load Status updates as the driver updates the status from their device.

1. Original load status is Driver Pending until Chase Driver accepts.

2. Chase Driver receives text/email with a web link to accept/decline the load.

3. Once the Chase Driver accepts the load, the status changes to Dispatched.

4. Chase Driver receives text/email with a web link to mark the load as Picked Up. If not all the vehicles have been picked up, the Chase Driver can select Picked Up for individual vehicles.

5. Once the Chase Driver picks up the load, the status changes to Picked Up.

6. Chase Driver receives text/email with a web link to mark the load as Delivered.

7. Once the Chase Driver delivers the load, the status changes to Delivered.
